We work with some of the UK's most interesting brands and we're looking for an Operations and Facilities Administration Assistant to come and join us. Armbands optional.
The Part You'll Play as an Operations and Facilities Administration Assistant...
As an Operations & Facilities Administration Assistant, you will support the Facilities & Operations Team by manning the office, based in the Coach House on site at Bonis Hall, providing administrative duties day to day.
Main duties include:
Ensuring that an efficient Facilities and Operations service is delivered throughout the agency
Raise purchase orders and maintain records
Book hire vehicles - manage MID Portal
Arrange couriers - same day & international
Coordinate pool car & Craft van, updating log accordingly
Due diligence licence checks
Assist with Health and Safety, Security, Facilities, and matters within the agency buildings infrastructure
Facilitate the access control system, including signing out and collection of passes, production of passes, ensuring records are kept up to date and voiding missing passes
Assist with the office management for deliveries, postal services including delivery of post throughout the office, and complete all courier requests ensuring best value
Ensure central stationery stores are fully stocked, including photocopiers/paper stock and respond to ad-hoc requests for non-core items as required.
Manage staff car wash bookings
Other ad-hoc duties as requested by the Facilities Team
Proactively pursue self-development opportunities within the department and across the Agency
Assume joint responsibility with Line Manager for regularly reviewing performance and personal development
Undertake any relevant training programmes, such as Fire Marshal, First Aid
Understanding McCann Manchester's culture and practices
Building effective relationships with the wider Agency, and developing knowledge of the roles and responsibilities of other Agency departments
Please note, to ensure adequate cover for the Facilities team, the hours of work for this role will be 10am-6pm, Monday to Friday.
As an Operations & Facilities Administration Assistant You'll Bring...
Must have:
Strong communication skills are essential for interacting with colleagues, contractors, and other stakeholders (face-to-face / telephone / written).
Computer literate - especially Outlook & Excel (basic/intermediate)
Able to multi-task and be flexible in their approach to work
Can work as part of a team
Organised and methodical in approach, with excellent attention to detail and can maintain confidentiality.
Nice to have:
Previous experience of working in a facilities environment is highly desirable
