We are currently looking to recruit a Treatment Coordinator to join our ever-expanding team in line with our ambitious growth plans.
Key Responsibilities
The Treatment Coordinator (TCO) plays a vital role in supporting the clinical and administrative teams by providing a seamless and engaging patient experience. The following outlines the core duties and expectations for this position:
Primary Duties
Conduct initial consultations (direct access) and follow-up discussions as needed, both in person and via Zoom.
Capture clinical images and perform intraoral scans efficiently.
Upload clinical data, images, and relevant case files to Smilecloud.
Demonstrate before-and-after visuals using Smilecloud to help patients visualise treatment outcomes.
Present treatment plans and clearly explain pricing and options.
Writing of reports and sending out to patients.
Schedule follow-up appointments with the dentist.
Prepare and finalise detailed treatment reports for each patient.
Guide patients through payment plans and support them with completing finance applications.
Collect user-generated content (UGC), including video testimonials, treatment progress photos/videos, and written reviews. Upload this content to the shared drive. Allow patients to post this content on their personal social media pages.
Provide the marketing team with engaging content, such as patient reaction videos and high-quality images. Also, record snippets of treatment content, to be used to social media purposed, For example, of Composite Veneers treatments. Engage with the rest of the dental team (reception, nurses, dentists) to be involved with the videography work and content. You need to come up with initiative content ideas for the Practice, look at trending videos on TikTok for example.
Upload "before" treatment images to the NAS drive and both "before" and "after" photos upon completion.
Develop Case Studies, documenting the patient journey from start to finish which can be used as block posts. This can be posted on Facebook.
Ensure all communication, notes, and updates are accurately recorded in both Dentally and on the Trello board.
Liaise with the Call Centre TCOs for smooth transition of patients.
All communication for each patient to be recorded on the Practice Trello board. The importance of this is to communicate the patient journey with the dentist, reception, TCO and Call Centre TCO's.
Digital Consent Forms
TCO's need to be competent in gaining consent from patients, for Invisalign, Smile Makeovers and Implants. These consents can be in person or virtual.
TCO's also need to send payment link to patients or take payment over the phone. Payment link to be added onto the report.

GDC registration is required
Excellent verbal and written communication skills
Friendly, empathetic, and professional manner
Presentable and well-groomed appearance
Confident with digital tools and strong IT proficiency
Comfortable using and creating content for social media platforms
