We are seeking a highly organised, personable, well presented and patient-focused
Treatment Co-ordinator
to join our specialist orthodontic practice in Cranleigh. The TCO will act as the primary liaison between patients, clinicians, and the wider practice team, ensuring a smooth, positive, and well-informed patient journey from initial enquiry through to treatment completion.
This role is ideal for someone with excellent communication skills, strong attention to detail, and a passion for delivering outstanding patient care within a clinical setting.
Key Responsibilities
Patient Liaison & Care
Welcome and guide new and existing patients through the orthodontic treatment process.
Conduct new patient consultations, including assessments, record gathering and presentation of treatment options (under clinician guidance).
Provide clear explanations of orthodontic treatments
Support nervous or anxious patients to ensure a comfortable and positive experience.
Treatment Coordination
Manage the full patient journey from enquiry, consultation, consent, treatment planning, scheduling, and follow-up appointments.
Prepare and present treatment plans and financial estimates.
Ensure all consent forms, clinical photographs, radiographs, and digital scans are organised and accurately recorded.
Liaise with labs, suppliers, and external partners where necessary.
Communication & Administration
Handle inbound patient enquiries via phone, email, and digital channels.
Maintain accurate patient records using practice management software (e.g., Orthotrac, Dentally, or similar).
Monitor treatment progress and proactively communicate with patients to ensure compliance and satisfaction.
Support the clinical team with administrative tasks linked to treatment planning.
Sales & Conversion
Provide confident, ethical, and informative treatment discussions to help patients make informed decisions.
Follow up with leads and outstanding treatment plans to optimise conversion rates.
Track key performance metrics (consultations, conversions, feedback).
Compliance & Professionalism
Adhere to all GDC, CQC, GDPR, and practice policies and protocols.
Uphold confidentiality, safeguarding, and data integrity standards.
Participate in training, audits, team meetings, and continuous professional development.
Skills & Experience Required
Essential
Excellent communication and interpersonal skills.
Previous sales experience required
Strong organisational abilities and meticulous attention to detail.
Ability to build rapport with patients of all ages.
Confident presenting information verbally and in writing.
Proficient with computer systems and practice management software.
Positive, professional, and compassionate attitude.
