We are seeking a highly organized, detail-oriented, and customer-focused
Vehicle Intake Assistant
to join our team and help facilitate a seamless and professional vehicle intake process. In this pivotal role, you will be responsible for managing the first point of contact for delivery drivers arriving on-site and ensuring that every vehicle delivered is checked in accurately, safely, and efficiently.
As a Vehicle Intake Assistant, you'll play a key role in upholding our commitment to efficiency and customer satisfaction. Beyond check-ins, you'll conduct visual inspections, verify documentation, and coordinate with internal teams to ensure a smooth intake process. This role is ideal for someone who thrives in a fast-paced, hands-on environment and values accuracy, reliability, and clear communication.
Key responsibilities:
Act as the first point of contact for vehicle deliveries, providing a friendly and professional meet-and-greet service.
Conduct thorough inspections of all incoming vehicles, cross-checking details against Proof of Collection (POC) and Proof of Delivery (POD) documentation.
Identify and document any transport-related damage incurred during transport. Ensure such damage is clearly recorded on the delivery driver's POD.
Report any damage identified during transport to the Buying Team in a timely manner.
Assist team members in supporting the logistics process as needed.
Coordinate vehicle bookings with dealers and external repairers
Proactively follow up on repair progress and ensure timely updates are obtained.
Maintain accurate, up-to-date vehicle records in VAuto to ensure visibility and alignment with the Sales Team
Person Specification:
Exceptional attention to detail, ensuring high standards of accuracy and quality
Strong communication and interpersonal skills, with the ability to build positive relationships
Self-motivated and capable of managing time effectively while working independently
Comfortable operating in a fast-paced, customer-facing environment
Basic understanding of vehicle inspections is advantageous; full training will be provided
Confident in using computer systems; familiarity with VAuto or similar platforms is beneficial, though training will be given
Maintain accurate, up-to-date vehicle records in VAuto to ensure visibility and alignment with the Sales Team
