As the Venue and Activities Co-coordinator at the Hugh Fraser Retirement Estate, you will be central to creating a vibrant, welcoming, and inclusive environment for our residents and the wider community.
This full-time role blends event planning, facilities management, and community engagement to enhance well being, encourage social interaction, and support the financial sustainability of our communal spaces.
Duties include but are not limited to three main areas:
Activities and Community Engagement
Develop and deliver a varied programme of social, recreational, and cultural activities tailored to residents' interests and needs.
Actively engage with the local community to identify and invite groups, clubs, and services that can enrich the lives of residents.
Host and promote inclusive events that bring together residents and the wider community, fostering inter generational and local connections.
Build strong relationships with residents to encourage participation and gather feedback for continuous improvement.
Promote activities and events through posters, newsletters, social media or internal communications.
Venue & Facilities Management
Oversee the day-to-day management of communal spaces, ensuring rooms are appropriately set up for events, meetings, and activities.
Maintain and operate the venue booking system, coordinating internal and external bookings efficiently.
Ensure all venues are clean, safe, and welcoming, and that equipment is maintained and ready for use.
Manage logistics for events, including venue set up, equipment, catering etc.
Ensure compliance with health and safety, safeguarding and organisational policies
Coordinate volunteers, facilitators and external providers to support activities and events
Liaise with maintenance and housekeeping teams to ensure smooth operations and timely issue resolution.
Income Generation & Promotion
Manage room hire and event bookings to generate income, including liaising with external groups and managing invoicing and payments.
Promote the venue and its offerings through local networks, social media, posters, and community outreach.
Track and report on income, attendance, and feedback to inform future planning and demonstrate impact.
Support fundraising and sponsorship opportunities through events and partnerships.
Requirements:

Experience in event coordination, community engagement, or facilities management--ideally in a care, supported living, or hospitality setting.
Strong organisational and multitasking skills with a proactive, can-do attitude.
Ability to adapt to changing priorities and work flexibly (including occasional evenings/weekends)
Excellent communication and interpersonal skills, with the ability to engage sensitively with older adults and external stakeholders.
Confident using booking systems, Microsoft Office, and promotional tools such as posters and social media.
A passion for building community and improving the lives of older people.
