We are recruiting a part-time Virtual Reality Coordinator to run two linked initiatives:
Mind Journeys
: paid virtual reality sessions for care homes, schools and workplaces
Ellia free virtual reality sessions
: community sessions delivered at no cost to charities and community groups across Gloucestershire
This is a practical, people-facing role. You will coordinate bookings, deliver sessions on site, manage the equipment and ensure a calm, safe and welcoming experience for participants.
Key responsibilities
Deliver fully hosted virtual reality sessions on site, including set-up, facilitation, headset rotation (where needed) and pack-down
Create a calm, inclusive session environment, particularly for older adults or people who may feel nervous trying virtual reality for the first time
Adapt sessions to the group's needs and pace, keeping participation seated and comfortable
Scheduling and coordination
Manage enquiries and bookings for both paid and free sessions
Confirm session details with venues, including timings, room set-up requirements and expected group size
Plan travel and schedules efficiently, clustering sessions by area where possible
Equipment and readiness
Keep virtual reality equipment ready for delivery: charging, cleaning, storage, transport and basic troubleshooting
Maintain a simple checklist so sessions run consistently to standard
Partnerships and follow-up
Build relationships with community groups and venues to help grow the free sessions programme
Support repeat bookings for paid sessions through clear communication and professional delivery
Gather short feedback after sessions and record highlights (with consent where required)
Professional standards
Maintain safeguarding awareness, confidentiality and professional boundaries at all times
Be clear on scope: this is a non-medical wellbeing and connection activity, not therapy or clinical support
Essential requirements
Friendly, confident communicator, comfortable supporting small groups
Highly organised and reliable, with strong follow-through
Comfortable using a smartphone for schedules and messaging
Willing to learn the virtual reality equipment and follow clear processes
Right to work in the UK
Willingness to complete and maintain a DBS check
Driving licence and access to a car (travel is required)

Pay: 15.00 per hour
Expected hours: 5 - 15 per week
