Join Our Team as the GLAM Volunteer Service Assistant!
The Gardens, Libraries, and Museums (GLAM) Divisional Office operates across the Museum of Natural History, Pitt Rivers Museum, History of Science Museum, Ashmolean Museum, Oxford Botanic Garden and Harcourt Arboretum, and the Weston Library. Each year, hundreds of volunteers enhance the services that GLAM offers to audiences across these sites, supporting a huge range of public engagement activities, as well as helping behind the scenes. The GLAM Volunteer Service is seeking an Assistant to support its day-to-day running: a busy but rewarding role, vital for providing a professional, welcoming, and efficient service for both volunteers and the staff working with them.
You will be the first point of contact for internal and external general enquiries about volunteering, carry out recruitment procedures for new volunteers, and ensure that volunteer data is up-to-date and organised correctly.
You will coordinate a pool of event volunteers across GLAM, collating requests from GLAM staff and using our online volunteer management system to advertise opportunities and confirm responses. You will induct new volunteers into the pool and will support staff and volunteers with basic queries about using the volunteer management system.
You will contribute to other aspects of Volunteer Service work, e.g. contributing to volunteer communications and events; collating information for reporting; taking minutes, booking rooms.
This is a permanent, full-time post, working 36.5 hours per week.
The post holder will be based at the Oxford University Museum of Natural History. This is an office-based role with some flexibility for hybrid working. Occasional evening or weekend working will be required.
The successful candidate will be required to undertake a satisfactory Standard Disclosure and Barring Service check due to communicating with, coordinating, and potentially supervising Young Volunteers, aged 16 or 17, and adult volunteers with extra support needs.
About You
You will have experience of performing and managing administrative processes.
Ability to organise own workload and to work to deadlines, evidenced by formal qualifications (for example BTEC ND, NVQ Level 3 or equivalent) and/or significant work experience at a similar level, is also essential.
You will have demonstrated experience showing ability to be numerate and accurate, with excellent attention to detail and a methodical approach.
Understanding of volunteers and volunteering issues, especially within an informal learning environment is also essential.
