To provide high-quality administrative and data management support for the entire volunteer lifecycle. This is a shared service that supports multiple departments in their use of volunteers, ensuring a consistent and effective approach across the organization. You will maintain and audit volunteer management systems and processes to ensure data accuracy and compliance and proactively contribute to the improvement of the volunteer experience by collaborating with various teams.
Specific Duties & Responsibilities
Manage the volunteer recruitment, onboarding, and offboarding processes, including pre-volunteering checks such as references and DBS checks.
Maintain and ensure the accuracy of volunteer data across all platforms, including the Volunteer Management Software and physical files.
Audit volunteer data regularly to identify and correct discrepancies between systems (e.g., timesheets, software records, and physical folders).
Extract, analyse, and report on volunteer data, including producing custom reports as required by management (e.g., induction form completion, Gift Aid training status).
Identify, develop, and implement improvements to the effectiveness and efficiency of the volunteer recruitment and data management processes.
Create and update procedural documents, such as the managers' manual, and create training materials, for example: - video tutorials for staff and volunteers.
Be responsible for promoting and communicating volunteer reward and recognition programs, including creating a bi-monthly volunteer newsletter.
Actively participate in the delivery of key events, such as Volunteers' Week and other charity events.
Maintain a commitment to confidentiality and adhere to all company policies and procedures.
