About the Role:


We're looking for a detail-focused Stock Administrator to support our Bedford warehouse operation. To provide administrative and fulfilment functions, ensuring the accurate and efficient handling of stock, documentation, and system data.

This role supports day-to-day operations while also working closely with the Head of Warehousing to help drive efficiency, streamline process flows, and contribute to the continuous improvement of warehouse systems. The position plays a vital part in maintaining operational compliance, enabling high service levels, and supporting both internal teams and external customer needs.

Operations - Quality, Assessment & Review



Accurately enter and maintain stock records using the warehouse management system (WMS)

Process and confirm all goods in/out documentation, ensuring correct data entry and filing

Conduct quality checks on incoming stock, flagging any discrepancies to the Warehouse Supervisor

Liaise with warehouse operatives to resolve stock or inventory issues as they arise

Assist in order processing tasks, ensuring all documentation and system entries are up to date

Monitor system stock accuracy and assist in cycle counts and stock reconciliation activities

Respond to and resolve internal and external queries within agreed timescales

Help coordinate warehouse space utilisation and support data capture for operational efficiency

Maintain accurate records and ensure all work is completed in line with warehouse compliance standards

Personnel & Administration



Support the Warehouse Supervisor and Head of Warehousing with administrative tasks as required

Uphold health and safety procedures in all administrative and operational activities

Assist in preparing and distributing reports including delivery discrepancies, stock levels, and daily dashboards

Contribute to continuous improvement by suggesting and helping to implement process enhancements

Provide general administrative support, including document scanning, filing, and system housekeeping

Ensure a high standard of organisation, accuracy, and confidentiality in all documentation

Provide cover for other administrative staff during absence, as required

Customer & Systems Support



Respond to customer service queries via email and phone in a professional and timely manner

Assist with the preparation of customer-facing documentation such as stock summaries and order updates

Support the use and improvement of warehouse systems (e.g. Qargo or Clarus)

Liaise with customer service and transport teams to ensure accurate fulfilment and dispatch

Work collaboratively with warehouse and transport colleagues to ensure smooth stock flow and information sharing

Support internal projects and rollouts that improve warehousing service levels and systems integration

Experience & Attributes Required



Previous experience in warehouse or logistics administration preferred

Strong attention to detail with accurate data entry skills

Proficient in Microsoft Office (especially Excel and Outlook)

Experience with warehouse management systems (WMS) is desirable

Excellent communication skills, both written and verbal

Confident in dealing with customers and internal stakeholders

Able to work effectively both independently and as part of a team

A proactive and organised approach to prioritising tasks and meeting deadlines

As Welch's Transport Ltd continues to expand its warehousing and fulfilment capabilities at the Bedford depot, this role will play a key part in supporting that growth. With the warehouse now nearing full operational capacity, the Warehouse Administrator will gain valuable experience across core processes, systems, and customer interactions.
