About the Role




As a Weekend Front of House Co-ordinator, you will be supporting our clinic team with a variety of administrative tasks needed to keep our services running smoothly. You will be the face and voice of Psicon supporting our patients, clients, parents and children that use our services in Canterbury.


Principle duties and responsibilities:

Working Friday to Monday Inclusive - (22.5 - 30 Hours per week) Meeting and greeting clients, patients, families and other visitors. Ensuring all visitors are signed in and have appropriate visitor passes. Ensuring waiting areas are a calm, welcoming, clean and tidy environment. Maintaining oversight of all tasks and processes within the Front of House
service.
Assisting administrators with daily / weekly completion of tasks such as -
answering and handling telephone calls, managing incoming and outgoing

post, scanning and uploading clinical documents or visitor documents and

uploading to the appropriate area of the business.
Managing and organising clinic changes. Working within and supporting to maintain KPIs in collaboration with the
Quality Management team.
Completing regular audits of designated team to ensure regulated activity is
completed as defined within the Company's protocols, NICE guidelines and

CQC regulations.
Liaising with contractors on behalf of the Estates Manager and reporting to
the Facilities team with updates regarding the site and utilities.

Person Specification



Ability to collate, present, and interpret data or desire to learn. Understanding of NHS structure (e.g. NHS England, CCGs, NHS trusts) or
desire to learn.
Ability to work with both details and 'the bigger picture'. Ability to communicate verbally and in written form clearly and in line with
Psicon core values.
Confidence to raise concerns with management if targets/KPIs are not being
met or at risk of not being met.
Ability to work as part of a team displaying Psicon core values in all tasks
undertaken.
Confident in presenting information and data to wider team where required.Proven experience of working in a similar role in an NHS or private health service environment. Strong IT skills including Excel - the ability to collate, present and interpret data. Has excellent interpersonal skills and is confident building and maintaining professional working relationships with internal and external stakeholders. Confidence to raise concerns with management.
