About The Role




The Weighbridge Administrator plays a key role in supporting the efficient and compliant movement of cargo through the Port of Leith. This position provides essential administrative and stock control support across cargo loading, discharging, storage, and distribution activities. The role ensures the accurate recording, reporting, and reconciliation of cargo movements via the Port's weighbridge systems, contributing to smooth day-to-day operations. Operating within the framework of ISO 9001:2015, TASCC, and Organic Food Federation (OFF) standards, the Weighbridge Administrator works closely with internal teams and external stakeholders to maintain high standards of accuracy, traceability, and regulatory compliance.

Key responsibilities:



Monitor cargo movements, input data into IPOS, and provide regular stock and traffic reports using Outlook and Excel. Maintain accurate cargo and warehouse records, including reconciling physical stock against system records. Ensure all documentation complies with TASCC, OFF, and customs clearance requirements; escalate any discrepancies. Liaise closely with Operations, Management, and Accounts teams to support cargo handling, billing, and customer service. Set up cargo records and create Vessel Call Numbers (VCNs) in IPOS to support cargo tracking and manifest entry. Conduct weighbridge checks, submit integrity reports, and escalate technical issues as required. Support customer delivery requirements by verifying delivery orders, ensuring cargo availability, and facilitating collection movements. Resolve customer queries promptly and professionally while maintaining effective communication with internal teams. Assist with general admin tasks and provide cover for OPS Admin, including customs, timesheets, and purchase orders. Support compliance with ISO 9001:2015, TASCC, and OFF standards, including accurate audit-ready record-keeping.

Skills & Qualifications:



Strong knowledge of dock operations, transport/logistics, and cargo types. Proficient in Microsoft Office (particularly Outlook and Excel) and Adobe. Working knowledge of Integrated Port Operating System (IPOS), Customs Clearance (Destin8), ORM (timesheets/allocations), and Integra (purchase orders), or similar. Excellent organisational and time-management skills with the ability to prioritise and work accurately under pressure. Strong communication skills and a professional, customer-focused approach. Full right to work in the UK Full UK driving licence
