Job Purpose:



The Workplace Experience Support Specialist is an exciting new role that combines a variety of activities that have that have traditionally been performed by separate team. As a Workplace Experience Support Specialist, you will deliver Exceptional Workplace and Guest Experiences to our client. This is an opportunity to broaden your skill set to incorporate everything you will need to support our customers and to give them access to the services they need, the spaces they need and the support they and the business need to be compliant, comfortable and safe.

This Specialist role will be mobile within the office, and may work on floor, or from the Workplace Solutions Hub depending on the requirements of the day.

Central to the Customer Experience and productivity in every office, the role encompasses a range of guest welcome, meeting and event management, floor management, workplace support, compliance and document and logistics and information management.

The duties and responsibilities below serve as a guide for the role; Workplace Experience Team Members will undertake all reasonable requests and proactively contribute to the evolution of the role and service.

Duties and Responsibilities:



Guest Welcome and Support



Greet all guests and staff, creating a welcoming first impression that reflects our commitment to exceptional customer service. Communicate visitor and guest arrivals efficiently and courteously, ensuring seamless coordination between landlord teams and a smooth experience for all parties. Maintain comprehensive knowledge of all spaces, including Welcome and Hospitality areas, and deliver concierge style service enriched with insightful local area expertise to enhance every visitor's experience. Consistently deliver exceptional customer service. Collaborate closely with the Manager to support security protocols, managing staff and visitor access, contractor coordination and ensuring the safety and integrity of our space. Maintain vigilant awareness of security procedures such as penetration tests and tailgating prevention, ensuring all guests are appropriately hosted and displaying visitor badges at all times.

Room Bookings Support



Coordination and monitoring of client meeting room and event space bookings to ensure a seamless user experience. Manage internal meeting room and office utilisation effectively to maximise the utilisation of these spaces Liaising with offsite room and events booking teams to ensure customer focused operation Liaise with catering suppliers to support any catering requests for meeting rooms if required, providing support and guidance to those using the service. Support hospitality operations, preparing of refreshments to support client meetings and meet client needs.

Events Operations and Support



Provide an end-to-end events service support including events creation, allocating the most suitable space, agreeing seating plans, room layouts with any hospitality requirements Ensure that 24 hour booking confirmations are sent out to all requesters/hosts for meeting room bookings where applicable External visitor management to maximise the event experience Troubleshoot client and visitor problems using research and problem-solving skills Pre-event schedule creation Post event feedback compilation

Floor Management and Space Ownership



Carry out regular checks of reception areas, meeting rooms, floors, client lounges, lobby areas and cloakrooms. Keep abreast of the AV and IT facilities available within the building to help respond to client requests and queries. Regularly liaise with Manager to conduct audits and inspections. Complete floor and meeting room checks each morning with faults reported. Report faults and ensure all faults addressed / resolved / updated. Provide comprehensive support to internal practice areas, building good relationships with staff, partners, and service partners. Carry out scheduled service hub checks across floors and replenish as necessary. Support utilisation of smart lockers and lock and key lockers within agreed procedures.

Workplace Support & Compliance



Being a key part of the Workplace Experience team. Supporting the Manager (WEM) and or Deputy in all things facilities management. Supporting internal and external audit and investigation activity as directed by Manager Supporting new joiner activities including DSE checks Extended responsibilities for fabric check, fault management and Workplace Tracker management Support WEM/Deputy WEM with planned evacuation activities, coordination and checks Extended responsibilities for equipment safety checks and asset tag checks support the business in utilising the office space and dealing with queries and offering support. Ensure sensors and screens are operational as part of floor walks

Courier Management, Mail and Parcel Services



Action requests for interoffice, domestic and international couriers. Action request for IT equipment dispatch and tracking in line with agreed procedures Dispatch standard and tracked mail items in line with agreed procedures Receipt, tracking and delivery of inbound courier items within agreed procedures Supporting bulk mailings and specialist requests (via the London Mailing team)

Print Support Services



Supporting with print finishing requests Ensuring QC process followed for all printed material Following info sec processes - electronic file deletion and securing uncollected hard copy print Replenishment of toner and Xerox consumables Resolving 2nd line MFD and printer issues

Candidate Skills:



Experience in workplace services, facilities, hospitality, or front-of-house roles. Strong customer service and communication skills, with confidence engaging at all levels. Competent in Microsoft Teams, MS Office, ServiceNow and EMS or equivalent workplace technologies. Ability to support AV, IT peripherals, and office equipment confidently. Well-organised and adaptable, with the ability to balance planned and reactive tasks.
