The post holder will play a key role in the support and continuous development of the use of the Welfare and Wellbeing service at the City of Liverpool College. This will include triaging referral queries, assisting staff and students in their engagement with the Mental health, Counselling and Safeguarding Service across the College. The role will also include tracking and reporting team data, taking minutes of team meetings, and other administrative duties as and when required /or directed by the manager or Designated Safeguarding Lead (DSL)
Knowledge of Safeguarding and/or Mental Health would be an advantage to working with the team as well as a good grounding in administration in a demanding setting.
A willingness to train in Level 2 & 3 Safeguarding and Level 2 Mental Health are key to this role.
You may be expected to work across 5 college sites from time to time.
Key Responsibilities
Act as a first point of contact for the team including telephone and email queries and referrals relating to safeguarding and wellbeing Responsible for the Safeguarding duty phone to discuss and triage students' needs at the point of referral
Responsible for taking and distribute minutes from team meetings
Take responsibility of communication of services offered by the team across the College.
Create documentation, user guides, information leaflets to support staff and students in their use of the welfare and wellbeing service, and the referral processes.
Support the organisation of wellbeing events and campaigns
Ensure daily routines are established and followed, and communicated to the team, ensuring that all operational and administrative procedures take place in an accurate and timely manner.
Assist with designing, planning, and organising of online promotional material for staff and students.
Maintain accurate records and assist with CPOMS access, training and reporting on CPOMs is an important part of the role, a willingness to train and develop your knowledge in CPOMS usage will be required.
Provide general administrative support to the wider team as required, such as organising meetings, updating intranet and VLE pages, creating purchase orders, booking staff development activities etc
Provide data for CPOM reports to the Director of Learning Support and Wellbeing for Senior Leadership and Board meetings.
Analyse CPOM data for current trends across site and school level. Provide the information to the SLT and Board through line manager.
Ensure that the highest levels of customer care are established and maintained, and that customer care training is up to date and regularly reviewed
Work flexibly & responsively as part of the College workforce, including supporting service delivery in a number of key areas such as enrolment duty services as required
Take an initiative-taking approach and responsibility for personal professional development, Health & Safety, and meeting other regulatory compliances (e.g., GDPR, DPA, Safeguarding), thereby enabling safe and professional working practices to be observed at all times.
Conduct any other relevant and appropriate duties as determined by the needs of the service and as appropriate to the grade.
Skills, Knowledge and Expertise
Essential Criteria
Minimum Grade C/ Level 4 in English and Mathematics or equivalent
In depth understanding of confidentiality and GDPR
Excellent IT skills including use of standard Microsoft Office software.
Effective presentation skills and excellent spoken and written English.
Experience of contributing to reports, documentation, and user guides.
Experience of administration of support services
Knowledge of safeguarding, mental health and wellbeing issues that affect young people and vulnerable adults
High level of personal resilience and ability to work under pressure and tight deadlines
Ability to work independently and as part of a team
Ability to maintain accurate records in a timely manner
Ability to evaluate data and report the findings to the team members as well as line managers
Ability to build strong rapport with a wide range of customers
Solutions focused approach to resolving customer issues and queries
Commitment to keep up to date with new and emerging support needs and and resources, and horizon scanning to identify potential opportunities to enhance the service.

Strong experience of working in a busy student support services team and liaising directly with
Experience of providing advice and support to staff and students in an educational environment
Evidence of supporting a team to deliver training students to understand their needs.
