What is the purpose of the role and expectations?
To manage our Work in Progress tracker, to facilitate the accurate and timely billing of our invoices and look to make improvements to reduce the level of errors and outstanding queries.
What will be my core responsibilities?
Run weekly WIP report and split out by account manager
Create WIP summary for directors/managers
Conduct weekly WIP reviews meetings with each account manager to review outstanding items and agree actions to resolve.
Review WIPs each week, outside of WIP reviews, to carry out additional ad hoc admin tasks (i.e. review of jobs closed at a loss, obtain loss approvals etc.) Aged WIP jobs
Take requests from account managers/billing team for cost journals (moving costs from one job to another)
Regular review of all batch jobs to be closed and update the tracker to reflect these changes
Produce quarterly WIP analysis for the director, with commentary on areas of concern, and success.
Analyse common themes and seek to make improvements to ways of working that will mitigate risk and speed up a process
What skills and experience do I need to be successful in this role?
Strong attention to detail to ensure accuracy of invoices.
Happy and able to work at pace and be flexible to respond to business needs.
Excellent organisational skill with the ability to multitask, prioritise and meet deadlines.
Proficiency in Microsoft Office, especially Excel, with the ability to manage large data sets
A confident communicator, able to advise and influence a broad range of stakeholders.
Highly analytical approach, able to spot trends and make recommendations.
