We have a fantastic opportunity for a Workplace Central Administration Coordinator to join our Workplace Central Admin Team based out of our Bangor office. You will be assisting the Workplace Central Admin Manager in providing an effective and efficient workplace service to our local scientific and professional services community. As well as providing administrative support to the wider team across all four sites.
You'll be supporting and coordinating a team of Workplace administration and maintenance assistants, who are responsible for supplying high quality, safe and clean buildings across the UKCEH estate.
The Workplace Team provide a wide range of hard and soft facilities services, including engineering, maintenance, building compliance, catering, reception, and a fleet of vehicles. The Workplace Central Admin Team sits centrally within the Workplace, ensuring the efficient collation of data, filing of compliance document and the management of the Workplace helpdesk. We need your excellent customer service and administration skills to work closely with a variety of stakeholders, to ensure we are providing the highest quality in customer service.

Your main responsibilities will include:

  • Provide guidance and training on the Workday system, acting as a first point of contact for queries and escalation, to enable effective budget management.
  • Supporting and co-ordinating a team of administrative and maintenance support staff, to ensure the effective co-ordination and delivery of day-to-day tasks.
  • Collate and present performance data as required, to support wider decision making and assessment of progress towards key team goals.
  • Coordinating Health & Safety compliance across all four sites, including contractor management documentation.
  • Work closely under the supervision of the Workplace Central Admin Lead and Workplace Central Admin Manager to provide support to projects they are leading on.
For the role of Workplace Administration Coordinator, we're looking for somebody who has:
  • Intermediate to advanced computer skills, knowledge of Microsoft 365 (Word, Outlook, Excel), databases, and ideally have experience of CAFM systems
  • Ability supervise and coordinate a small team, supplying training where necessary.
  • Excellent customer service skills - able to communicate well in person and in writing, whilst using a collaborative and inclusive approach
  • Knowledge of finance and procurement processes.
  • Ability to accurately reassess work priorities in a changing environment, work methodically and with accuracy.
  • Be adaptable and able to cover some site-based duties within the Workplace Team to help support holiday cover which includes reception cover, completing safety audits, minuting meetings, however this list is not exhaustive.
  • The responsibilities and duties outlined above are indicative and may be subject to change based on business needs as the business evolves.
Desirable skills but not essential:
  • In-depth CAFM system knowledge
  • Workday system experience
  • Contractor management experience
  • Data analysis skills
  • Strong administrative skills using Microsoft systems including Teams, Excel and PowerPoint.
  • Minute taking
  • Be able to use own initiative to assess the needs of the team and adapt workload accordingly
  • Able to multi-task, supporting a number of stakeholders
  • Have strong attention to detail when looking through data
