We are seeking a proactive and organised Workplace Coordinator to join our team supporting the WSP account in London. This role is pivotal in ensuring the smooth operation and administration of the workplace environment, enhancing efficiency and delivering an exceptional experience for employees and visitors.


As a Workplace Coordinator, you will provide comprehensive support to the Facilities Manager and workplace teams, manage day-to-day operations, and maintain compliance with health, safety, and environmental standards. You will play a key role in coordinating services, managing data, and driving process improvements to uphold ISS and WSP's commitment to excellence.

Key Responsibilities


Set up and clear down meeting and conference rooms for client events and business needs.

Provide support to the Facilities Manager and workplace teams, including assistance in the post room when required.

Maintain and manage records, reports, and workplace documentation to ensure compliance with policies and standards.

Coordinate services such as cleaning, catering, and maintenance to ensure seamless operations.

Monitor and update workplace management systems with accurate and timely data.

Generate and analyse reports on workplace metrics, including occupancy, usage, and service performance.

Serve as the primary point of contact for workplace-related queries from employees and contractors.

Support health, safety, and ESG compliance, including waste management and sustainability initiatives.

Professional and Personal Competencies/Qualifications


Proven experience in a coordination or administrative role, ideally within facilities management or a workplace environment.

Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and workplace management systems.

Excellent organisational and multitasking skills with the ability to manage competing priorities.

Strong communication skills and a customer service mindset.

Familiarity with health and safety regulations and reporting processes (preferred).
