About the Role
This is a fantastic opportunity for a proactive, organised individual to play a key role in supporting our busy
workshop, yard, and build teams
. You'll be responsible for coordinating maintenance administration, managing stock and parts ordering across departments, and ensuring compliance and quality are upheld in all areas.
Key Responsibilities
Workshop Job Coordination
Raise and manage job cards for maintenance, repairs, inspections, and cleans.
Allocate tasks via the workshop app and track completion
Log and process completed jobs, ensuring records are accurate
Parts & Stock Ordering - Workshop, Yard & Build
Raise purchase orders and coordinate deliveries of parts, tools, materials, and consumables.
Liaise with suppliers to ensure timely, cost-effective procurement
Support the Yard and Build teams with the ordering of equipment, fixings, construction materials, and repair items
Stock Control, Audits & Inventory Management
Carry out regular weekly stock checks across Workshop, Yard, and Build
Lead monthly and quarterly stock audits and reconcile discrepancies
Maintain clear and accurate stock records and usage logs
Administrative Oversight
Maintain and update workshop service logs, parts usage, vehicle files, and inspection reports.
Support compliance reporting and health & safety documentation
Communication
Liaise between the workshop, yard, build teams, transport planners, drivers, and the office.
Manage incoming queries and requests with a solution-focused mindset
Vehicle & Equipment Checks
Monitor driver daily vehicle checks, cleanliness, damage reporting, and workshop follow-up
Escalate defects and ensure prompt resolution
Transport & Scheduling Support
Assist Transport Planners by checking driver routes and readiness of vehicles and equipment
Enter shifts and overtime in advance and approve holiday requests as needed
Skills & Experience Required
Strong administrative experience (preferably in workshop, yard, or operational environments)
High attention to detail with excellent organisation skills
Confident working with Microsoft Office and internal job/stock systems
Comfortable communicating with suppliers, drivers, and internal teams
Problem-solver with a proactive, can-do attitude
You don't need to have experience in every aspect of the role - complete training will be given for the right person
