The Line Manager is the Head of Client Accounts - Block Management Department
To assist the Head of Client Accounts - Block Management with the processing of invoices, preparation of accounts and chasing of arrears.
To ensure the accounting records held on bespoke Block Management Accounting and Management software called CRM are accurate, with some supporting schedules on Excel.
This role requires close liaison with the Property Managers and the Head of Client Accounts to assist with the attendance of meetings and the provision of reports generated by the database for the meetings.
The key features of this role are:
Purchase Ledger
Receiving the invoices for works carried out and processing them into the accounting system, ensuring that they have been correctly authorised. These must be processed onto the correct schedule for a site.
Running the payment run, producing the necessary cheques and BACS reports.
Monitoring cash funds in line with the budget and reporting this to the Property Manager in a timely manner.
Filing of purchase invoices in line with department procedures.
Print off the invoice from online sources.
Liaising with energy Brokers regarding outstanding balances.
Site Income
Running off the bank statements and posting service charges received onto the accounting system, attention must be paid to allocating the income to the correct leaseholder and the correct schedule.
Ensuring any cheques received are paid into the bank within the correct time frame.
Handling Leaseholder payments over the telephone.
Responding to day-to-day queries from leaseholders, directors, and other interested parties.
Be responsible for credit control in line with legislation, the lease and individual site requirements. Following the Boydens' debt collection procedure.
Liasing with the property debt collectors.
Departmental Accounts Support
To assist the Property Managers and Head of Client Accounts from time to time in the production of supporting accounts schedules and forensic accounting.
Site Budgets
Inputting the budget into the CRM in order to create the Service Charge demands.
Production of the Service Charge demands in line with the current legislation and site leases.
Prepare and produce the monthly STO charges.
Update the communication spreadsheet.
Sending any communication via the CRM.
Admin
Assist with booking a meeting
Company secretary duties
Answering a legal inquiry
Other Duties
Recording Energy & Insurance commission for each site.
Inputting quarterly interest for each site.
Ensuring the year-end folders are prepared.
Assisting the Property Managers with any supplier invoice queries.
Reallocating Supplier invoices at the property manager's request.
Assist the Head of Client Accounts with new site set up.
Ensuring the CRM is updated with the Leaseholders' correction contact details.
