Role Overview
We are seeking a proactive, detail-oriented Accounts Assistant to join our team in Livingston. Reporting directly to the Accounts Manager, the successful candidate will play a key role in supporting the day-to-day finance function and maintaining accurate financial records.
This is a hands-on role covering accounts payable, month-end processes, reconciliations, VAT returns and reporting. You will work closely with internal stakeholders and external parties including suppliers and auditors, contributing to the smooth and efficient running of the accounts department.
Key Responsibilities
Accounts Payable & Expenses
Provide support and cover for the accounts payable function
Process purchase invoices accurately and efficiently, ensuring appropriate approvals are obtained
Prepare and process weekly supplier payment runs
Reconcile supplier statements and investigate and resolve discrepancies
Process staff expense claims and reconcile monthly credit card statements
Month-End & Reporting
Prepare month-end journal entries, including accruals and prepayments
Complete monthly balance sheet reconciliations
Assist the Accounts Manager with the preparation of monthly management accounts and forecasts
Produce weekly reports, including key performance indicators (KPIs) and cashflow reporting
VAT, Banking & Compliance
Assist with the preparation and submission of VAT returns
Perform regular bank reconciliations, investigating and resolving variances
Support year-end audit preparation and act as a point of contact for external auditors
General Finance Support
Handle incoming finance-related queries and correspondence from internal and external stakeholders
Maintain accurate and well-organised financial records
Support ad-hoc finance tasks and projects as required by the Accounts Manager
Skills & Experience
Essential:
Proven experience in a finance or accounting role.
Working knowledge of VAT, month-end processes and journal entries
Strong numerical ability with exceptional attention to detail
Proficient in Microsoft Excel
Strong organisational and time management skills with the ability to meet deadlines
Desirable:
Experience using accounting or ERP systems
Working knowledge of Microsoft Navision and/or Business Central
