Job Description

The National Liberal Club, a prestigious private members' club in the heart of Westminster, is seeking an Accounts Assistant to work in a small team supporting the maintenance of accurate financial records and ensuring the smooth operation of day-to-day accounting processes. This role involves assisting with purchase and sales ledger management, bank reconciliations, data entry, and general administrative support to the finance team.

Key Responsibilities:-



Accounts Payable



Receive, check, and process supplier invoices in accordance with financial policies and procedures.

Match invoices to purchase orders and delivery notes, resolving any discrepancies promptly.

Maintain the purchase ledger, ensuring all supplier details are accurate and up to date.

Prepare and process weekly or monthly payment runs, ensuring timely payments to suppliers.

Reconcile supplier statements and follow up on outstanding invoices or credit notes.

Manage staff expense claims and company credit card reconciliations.

Support month-end close by ensuring all invoices are posted and accruals recorded.

Liaise with suppliers and internal departments to resolve invoice queries and maintain good relationships.

Other Finance Duties



Assist with sales ledger duties, including raising and sending invoices and credit control as required.

Reconcile bank accounts, petty cash, and other control accounts regularly.

Support internal and external audits by preparing schedules and supporting documentation.

Contribute to continuous improvement of financial processes and systems.

What are we looking for?



Skills & Abilities - Essential:



Solid experience in an accounts payable or purchase ledger role.

High level of accuracy and attention to detail.

Good understanding of double-entry bookkeeping and accounting processes.

Experience using accounting software Xero.

Proficient in Microsoft Excel and other Office applications.

Strong communication skills, with the ability to build effective relationships with suppliers and colleagues.

Organised and able to meet deadlines in a busy environment.

Desirable:



AAT Level 2 or above (or currently studying towards qualification).

Familiarity with digital invoice approval systems or electronic payment platforms.
