2. Role Purpose



As Administrative Support in the Registration and Careers department, you will play a key role in helping individuals begin their journey back into employment. From producing essential documents like CVs and disclosure letters, to supporting training pathways and managing data, your work will ensure candidates receive a smooth and supportive service. You'll work closely with the Head of Careers Development, liaising with candidates, training providers, and partner agencies.

3. Key Responsibilities



Provide day-to-day administrative support to the Registration and Careers team, including producing CVs, disclosure letters, and obtaining ID. Maintain professional communication with candidates (in person and by phone) and support multi-agency working. Use Microsoft Office confidently and demonstrate a willingness to engage with AI tools such as ChatGPT (training provided if necessary). Manage your own workload using the CRM system, ensuring administrative tasks are completed to a high standard and within set timescales. Liaise regularly with the Head of Careers Development regarding priorities, tasks, and workflow updates. Support the registration process where needed, including taking on delegated admin tasks. Work collaboratively within a team, adapting to occasional fast-paced demands. Act as a point of contact for our foundation of training providers, supporting candidates on their training journeys. Monitor candidate progress and ensure accurate and up-to-date record-keeping. Assist with a range of general administrative duties as required. Attend team meetings, training sessions, and undertake ongoing professional development. Promote equality, diversity, and inclusion in all aspects of your work. Understand and respect the Christian ethos of CSS. Comply with the Health & Safety Policy, GDPR and the Data Protection Act 2018. Undertake any additional duties deemed appropriate by your line manager.

5. Person Specification



Essential:



Strong administrative and organisational skills. Confident using Microsoft Office (Word, Excel, Outlook). Strong written and verbal communication skills. Able to manage workload independently and meet deadlines. Collaborative and team-oriented, with a flexible attitude. Understanding and respect for the ethos and values of CSS.

Desirable:



Experience working in an admin role, ideally within a charity or careers/employment setting. Familiarity with CRMs or case management systems. Experience working with individuals from diverse or disadvantaged backgrounds.
