Vestey Foods UK is a fourth-generation family business that operates in the sourcing, development, production and distribution of food products. It provides a wide range of food products for foodservices, retailers, public institutions, wholesalers, and manufacturers in the UK and in Ireland.
Role Purpose
The Admin and Planning Assistant will support the Commercial Trading team by ensuring smooth administrative operations, assisting with sales order processing, coordinating logistics, and helping with demand and supply planning activities. This role is ideal for someone looking to gain hands-on experience in international trading and supply chain operations, with room for career development.
This role is offered on a permanent, part-time basis of 20 hours per week, with a salary up to 27,000 per annum, pro rata.
The Main duties and responsibilities of the role include:
Administrative Support
Manage and maintain accurate records of customer orders, supplier contracts, and shipment documentation.
Assist in preparing sales and trading reports, dashboards, and presentations for management.
Support credit control and invoicing processes by liaising with finance.
Handle general administrative tasks such as filing, scheduling, and document control.
Planning & Coordination
Liaise with logistics providers, warehouses, and freight forwarders to ensure on-time deliveries.
Track and report on supply chain delays, shortages, or risks to the Trading Director.
Coordinate with internal sales and procurement teams to align supply with customer requirements.
Commercial Support
Prepare purchase orders, sales orders, and shipping instructions.
Support customer service by responding to queries regarding orders, delivery timelines, and documentation.
Skills and Experience
Strong organisational and multitasking skills with attention to detail.
Proficient in Microsoft Office (Excel, Word, PowerPoint)
Good communication skills (written and verbal).
Ability to work under pressure and adapt to changing priorities in a fast-paced trading environment.
