We are seeking a highly organised and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong office experience and administrative skills, providing essential support to ensure the smooth operation of our office. This role requires proficiency in various computer applications and excellent phone etiquette, making it crucial for maintaining effective communication within the organisation.
Duties
The Administrative Assistant will be responsible for a variety of tasks, including but not limited to:
Managing incoming calls and responding to inquiries with professionalism
Performing data entry tasks accurately and efficiently
Maintaining organised filing systems and documentation
Assisting with scheduling appointments and managing calendars
Preparing reports and presentations using Microsoft Office and Google Workspace
Handling clerical duties such as photocopying, scanning, and mailing documents
Supporting the finance department with QuickBooks for invoicing and expense tracking
Collaborating with team members to ensure project deadlines are met
Experience
The successful candidate should have:
Previous office experience in an administrative role
Strong computer skills, particularly in Microsoft Office Suite and Google Workspace
Familiarity with Xero is advantageous but not essential
Excellent organisational skills with a keen attention to detail
Proficient typing abilities for efficient data entry tasks
Experience in clerical duties, demonstrating an understanding of office protocols
Strong phone etiquette to communicate effectively with clients and colleagues
