To provide efficient administrative and clerical support to ensure the smooth running of the children's home, maintaining high standards of record-keeping, compliance, communication, and operational support in line with safeguarding policies and regulatory requirements.
Key Responsibilities:Administrative Support
Manage day-to-day office operations, including answering telephone calls, correspondence, filing, photocopying, and document preparation.
Maintain accurate records of children's files, staff files, and home documentation in line with Ofsted and safeguarding requirements.
Schedule and coordinate meetings, training sessions, and appointments.
Assist in preparing reports, newsletters, and communication to external stakeholders.
Financial and Resource Management
Support budget tracking, petty cash management, and processing of invoices/receipts.
Order and maintain stock of supplies, equipment, and household items.
Liaise with suppliers, contractors, and service providers.
Maintain up-to-date staff training records, leave tracking, and rotas.
Support onboarding and induction processes for new staff.
Compliance and Record-Keeping
Ensure that all files (paper and digital) are up to date and stored securely in accordance with GDPR and safeguarding protocols.
Maintain health & safety records, incident logs, and regulatory compliance documentation.
Assist with inspections and audits by external agencies (e.g., Ofsted, social services).
Communication and Coordination
Act as the first point of contact for the home: managing phone calls, emails, and visitors.
Coordinate communication between the home, families, social workers, schools, and other professionals.
Support the home's management in organizing events and activities.
Person Specification:Essential:
Proven administrative experience, ideally in a care, education, or social work setting.
Excellent written and verbal communication skills.
Strong IT skills (Microsoft Office, databases, email, etc.).
High level of discretion and confidentiality.
Ability to work independently and as part of a team.
Commitment to safeguarding and promoting the welfare of children.
Have a high personal and professional standards
Desirable:
Experience in a residential care or children's services environment.
Knowledge of relevant legislation (e.g., Children's Homes Regulations, GDPR).
First Aid and/or safeguarding training.
