Job Summary:
We are seeking a proactive and detail-orientated Administrator to join our GP practice team. The successful candidate will play a vital role in ensuring smooth operational functionality by supporting IT troubleshooting, supporting & improving workflow processes, maintaining audit readiness, and assisting the administration & reception team when required. This role is crucial in helping the practice run efficiently and in line with regulatory standards, while ensuring high-quality patient service.
Key Responsibilities:
IT Support & Troubleshooting:
Provide first-line IT support for hardware, software, and clinical systems (e.g., S1, Jayex, etc).
Liaise with external IT support providers to escalate and resolve issues.
Maintain inventory of IT equipment and report maintenance or upgrade needs.
Assist staff with system logins, printing/scanning issues, and digital communications tools.
Assist with smartcard management.
Workflow & Process Management:
Monitor and optimise clinical and administrative workflows for efficiency.
Support the implementation and sustainment of new systems or procedures (e.g., digital triage tools, document handling processes).
Maintain records of changes to practice operations and assist in training staff on updated procedures.
Support the processing of workflow documentation and highlight any efficiencies.
Audit & Compliance Support:
Assist in the preparation and execution of internal and external audits (e.g., CQC, Minor Ops, Pathology, Cancer).
Maintain up-to-date records and documentation to meet compliance standards.
Support with data collection, reporting, and analysis to ensure quality improvement.
Monitoring of external portals for the downloading of patient results.
Reception & Patient Support:
Assist patients with online services and IT related general inquiries.
Management of the electronic patient communication tools such as digital triage and generic patient email account.
Provide cover for administrative/reception teams as needed, in times of unexpected circumstances.
Ensure a professional and compassionate front-of-house service is maintained.
Key Skills & Attributes:
Strong IT literacy and experience with clinical systems (e.g. SystmOne, NHS Mail, EMIS).
Excellent organisational and multitasking abilities.
Ability to work independently and as part of a team.
Strong communication and problem-solving skills.
Attention to detail and a commitment to confidentiality and data protection.
Qualifications & Experience:
Previous experience in a GP practice or healthcare setting is desirable.
Experience in IT support or administration is essential.
Knowledge of NHS systems and audit requirements is an advantage.
