The
Admin & Job Planning Assistant (Maternity Cover)
will play a key role in managing our ticketing system, scheduling engineers, and providing essential administrative support. This role ensures effective coordination between customers, engineers, and internal teams to maintain service quality and operational efficiency during the maternity leave period.
Duties & Responsibilites
Administration & Customer Support
Respond to customer enquiries and provide accurate product/service information.
Update internal systems with customer details, notes, and ticket history.
Produce quotations and convert them into sales orders when required.
Provide clear communication between customers, support teams, and management.
Maintain organised digital records, documentation, and communication logs.
Job Planning & Ticketing Coordination
Manage the company ticketing system, ensuring all tickets are logged, prioritised, and assigned correctly.
Allocate job tickets to engineers based on skill set, location, and availability.
Monitor ticket progress and ensure timely resolution.
Communicate schedule changes and updates to engineers and customers.
Track engineer workloads and assist in resource planning.
Ensure all completed jobs are updated accurately and closed off in the system.
Marketing / Internal Support (where required)
Assist with updating website and social media content.
Support light marketing admin tasks such as liaising with suppliers or updating campaign information.
Provide feedback and updates to the Managing Director and internal teams.
Required Skills & Knowledge
Previous experience in admin, scheduling, coordination, or an IT support environment.
Strong organisational and time?management skills.
Excellent communication and telephone manner.
Confident using ticketing systems, CRMs, and Microsoft technologies.
Ability to prioritise workload and handle multiple tasks simultaneously.
Proactive, reliable, and capable of working independently.
Flexible and able to adapt to a fast?moving role.

: Fixed?Term - Maternity Cover (duration to be confirmed; includes a 3?month trial period) 8am to 5pm Mon-Fri
