Job Description

This role is the organisational anchor of our business. You'll be responsible for managing the daily operations of our studio spaces, overseeing all bookings and hires, providing administrative support for our core programmes (Dance Company, Youth Academy, Forthcoming College), and ensuring internal systems, communications, and calendars are accurate and efficient.

You'll work closely with the directors, Programme Leads, and teaching team serving as a central point of coordination between creative teams, parents, clients, and freelance staff. You'll be instrumental in helping us maintain a high level of professionalism and service, while freeing up our creative and leadership teams to focus on vision and delivery.

Key Responsibilities



1. Studio Site Operations



Act as the keyholderfor our studio premises, ensuring opening/closing duties are completed as needed Manage day-to-day site operations including cleanliness, security, maintenance, and health & safety Coordinate regular checks for facilities, equipment, and studio supplies Liaise with cleaning staff, contractors, and suppliers for upkeep and repairs Ensure first aid kits, accident books, and safeguarding displays are kept up to date and accessible

2. Bookings, Hires & Customer Liaison



Manage all studio hire bookingsincluding handling enquiries, scheduling, issuing contracts, and coordinating logistics with hirers Provide a professional and welcoming point of contact for external clients*, schools, and creative partners using our spaces
Track and update studio usage, availability, and payment status using booking systems and financial records Issue and chase invoices as required and work with the Finance Officer to reconcile payments Create and manage usage reports to support income tracking and future planning

3. Programme Support - Dance Company, Youth Academy & College



Support the operational delivery of our

Eloquent Dance Company

classes, rehearsals, and performances Administer all

Youth Academy

logistics: term dates, timetables, registers, DBS records, parent comms, uniforms, trips, and showcases Coordinate the Forthcoming

Eloquent College

calendar and provide administrative support to tutors and students room bookings, registers, event planning Maintain up-to-date records of students, teaching staff, and curriculum materials Help coordinate transport, catering, and risk assessments for off-site activity, competitions, or partner engagements

4. Internal Systems, Team Support & Communications



Keep all

organisational systems

up to date: Notion, Google Drive, calendars, contact lists, and safeguarding logs Schedule and take minutes at team meetings, tracking actions and reporting progress to the directors Support the directors with diary management, staff communications, and document creation Coordinate staff and freelancer rotas, timesheets, and holiday tracking Assist with recruitment admin including onboarding packs, contracts, and induction coordination Support preparation of reports, dashboards, and compliance documents for internal and funder use

5. Finance & Admin Support



Assist with processing class payments, hire fees, and merchandise sales Track bursaries, free school meals, payment plans, and registers Support stock checks and order supplies as needed Manage petty cash, reconciliations, and document scanning Collaborate with the Finance & Fundraising Officer to prepare documentation for audits, grants, or funder reports

Person SpecificationEssential



Proven experience in a fast-paced administrative, operations, or office management role Excellent organisational skills and the ability to prioritise multiple tasks and projects Strong digital literacy - especially with Google Workspace, spreadsheets, calendar tools, and cloud storage*
Friendly, professional communicator (written and verbal) with a high attention to detail Self-starter, proactive, and able to work with minimal supervision Comfortable working in a creative, community-facing environment Strong customer service skills and the ability to manage bookings or enquiries with professionalism Flexibility to support occasional evening/weekend events as required

Desirable



Experience in a performing arts, education, youth work or community arts setting Familiarity with safeguarding, GDPR, and youth programme delivery Experience using tools like

Wix, Google drive and Notion

Interest in dance, faith-based work, or creative empowerment
