Job Description

As an Administrative Officer at Human Relief Mission, you will play a crucial role in supporting the smooth and efficient operation of our organisation. You will work closely with the administrative team and other departments to ensure effective coordination and execution of administrative tasks.

Responsibilities:



1) Office Management:



Oversee day-to-day office operations, including managing office supplies, equipment and facilities as well as reception duties which will include:

a. Maintain a clean and organised office environment to ensure a conducive working atmosphere.

b. Manage incoming and outgoing correspondence, including emails, letters, and phone calls.

2) Database Management:



a. Maintain and update databases, including donor information, volunteer records, and programme data.

b. Ensure data accuracy and integrity, regularly reviewing and cleansing databases as needed.

3) Documentation and Record-Keeping:



a. Create, organise, and maintain organisational documents, records, and files.

b. Assist in the development and implementation of document management systems to improve efficiency and accessibility.

4) Financial Administration:



a. Assist in budget preparation, expense tracking, and financial reporting.

b. Process invoices, receipts and payments, ensuring accuracy and compliance with financial procedures.

5) Volunteer Management:



a.

Assist in recruiting, training, and coordinating volunteers for various projects and events.

b.

Maintain volunteer records, schedules, and communication channels.

6) Partner Charity Coordination:



a.

Offer comprehensive administrative assistance to programme managers and teams as required.

b.

Facilitate constructive feedback and reporting to partner charities.

c.

Aid in the preparation and submission of reports and other programme documents.

d.

Ensure timely completion and transmission of all necessary feedback to partner charities.

Job Types: Full-time, Permanent

Pay: 12.44 per hour

Expected hours: 40 per week
