Administration Assistant 12 Month Contract

Job Description

This is an exciting opportunity to be part of the training support team at Citrus Training and join us on a 12-month maternity cover contract. The position offers an exciting opportunity for any individual looking to join an organisation where they will benefit from full training, mentoring and development within a fast-growing organisation. The Administration Assistant will be responsible for all areas of administration relating to Accredited courses.

Key Responsibilities:



Front of house duties, including greeting delegates and visitors, notifying relevant staff of their arrival, issuing visitor identification where applicable; Internal and external telephone calls, including covering colleagues' and other departments' calls as and when necessary; Managing the receipt and internal distribution of post; Notification of Accredited Courses to the relevant Awarding Body within expected timescales (IOSH, PASMA and Site Safety Plus); Certificate and card refresher eligibility checks; Production and despatch of pre-course paperwork; Ordering and distribution of course materials and publications; Updating database with pre- and post-course information and creating accurate client reports; Liaising with Trainers and Internal Verifiers and assisting with preparation for annual audits; Application, processing, and dispatch of certificates and cards; Assisting the Administration Department with ad hoc duties and projects as required. Maintaining course paperwork archive and filling systems; All other admin duties related to accredited schemes.

The Person:



Proven track record of working in a busy office environment is desirable; Excellent customer service and people skills with a commitment to uphold excellent customer service levels; Excellent communication skills and telephone manner; Good literacy and numeracy skills; High level of accuracy and attention to detail; Strong time management along with the ability to be organised and plan and prioritise tasks; Excellent team player and appreciative of the requirements of other departments.
