Summary
We are seeking an Administrative Assistant to join our finance team. This role supports the accounts team as well as various other departments within the company. This role is to provide various clerical and administrative office support.
This includes tasks such as communications direct with haulage customers from tickets administration to customer invoicing in Sage 50, new employee administration, job ads, office purchasing, scanning/photocopying, filing, emailing, answering telephone calls.
The role is full time and office based and will require a high degree of computer skills and high accuracy. Equally important is excellent people and communication skills.
The role is a support role and it is important the candidate is team spirited and will be expected to cross train to provide holiday coverage.
Tasks in new software's will be needed to support various departments.
Responsibilities
Answering main switchboard telephone calls, transferring calls and taking messages for the relevant people.
Processing and scanning haulage tickets into the system.
Processing holiday requests.
Creating manual invoices.
Processing stationery orders for each department.
Booking flights / Accommodation.
Fuel ordering for the head office / sites.
Petty Cash / Milk & Cleaning orders
PPE records for all staff.
Processing starters / leavers.
Processing self-bill invoices
Coding purchases to correct department.
Holiday cover in the team / Ad-hoc needs
Key Skills & Experience:
Excellent organisational and time management, deadline management skills
Experience handling incoming reception calls
Strong communication, good people skills
Proficient in Microsoft Office Suite (Word, Excel, SharePoint, Teams, Outlook)
Attention to detail and accuracy in data entry and record keeping (Sage 50, HR)
Ability to multitask and prioritize routine tasks effectively
Knowledge of administrative procedures and office equipment
Strong problem-solving and decision-making abilities
Ability to work independently and as part of a team
Professional and friendly telephone etiquette
Liaise with various departments across the company.
Maintain professional and good relationships.
Own problems and seeks to resolve
Pro-active individual, can do attitude to learning and owning new tasks
AAT or accounting experience an advantage
