Responsibilities
Manage multi-line phone systems, answer inquiries, and route calls efficiently using professional phone etiquette
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office software
Handle scheduling and calendar management for team members, including setting appointments and reminders
Assist with filing, document proofreading, and organizing office supplies to support daily operations
Support bookkeeping tasks such as documentation, time sheets, etc.
Provide customer support by addressing inquiries via phone or email promptly and courteously
Maintain organized office files and ensure confidentiality of sensitive information
Support office management activities including coordinating meetings, managing office supplies inventory, and ensuring a tidy work environment
Qualifications
Proven experience in an administrative or clerical role within an office setting
Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry skills
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional communication skills, including phone etiquette and customer service experience
Bilingual abilities are highly desirable to assist diverse client needs
Prior experience as a receptionist, personal assistant, or medical/dental receptionist is advantageous
Knowledge of bookkeeping software such as QuickBooks is preferred
Demonstrated ability to manage calendars, schedule appointments, and handle time-sensitive tasks efficiently
Attention to detail with proofreading and document accuracy skills
