We are currently seeking a full-time Administration Assistant to join our friendly and supportive team based in Fordham, Colchester, Essex.
The Role
The ideal candidate will have prior experience in office administration and be comfortable handling a variety of tasks to support the smooth and efficient running of the office. You will report directly to the Office Manager and work closely with the wider team.
We are looking for a proactive team player who can manage multiple responsibilities effectively, prioritise tasks, and work independently with minimal supervision. You'll be self-motivated, trustworthy and thrive in a productive environment.
Responsibilities:
Manage incoming phone calls and correspondence (emails, letters, packages etc).
Serve as a point of contact between the office and customer, responding to enquiries and resolving issues.
Perform general administration tasks including filing, photocopying and scanning.
Schedule meetings and appointments and manage team calendars.
Arrange travel, accommodation, training and transportation for staff.
Create, maintain and update records and databases in the company's central data system.
Process and reconcile invoices and receipts; liaise with customers, suppliers and contractors.
Handle goods in/out, manage returns and maintain stock of office supplies.
Manage staff expenses and process CIS payments.
Provide administrative support to the Office Manager and company Directors.
Offer assistance to colleagues as needed.
Oversee company fleet management, including vehicle checks, repairs and accident reporting.
Update and maintain the company website and social media channels.
Co-ordinate annual servicing of equipment.
Requirements and Skills:
Proven experience in administrative or office support roles.
Strong written and verbal communication skills, with a professional and personable manner.
Excellent organisational and time management skills, with keen attention to detail.
Proficient in Microsoft Word, Excel and Outlook and comfortable learning new systems.
Own transportation is essential due to the rural location of our office.
