Location: Edinburgh Norton Park Head Office and home working
Visualise Scotland are seeking to recruit an Administration Assistant, supporting the efficient administration of the organisation, recruitment and HR. You will be managed by the Development Manager.
Whilst providing a supportive work environment where you will work collaboratively towards our organisational objectives.
As an experienced Administration Assistant, you will be supporting the running of our organisation and carry out the following tasks:
General Admin
Providing administrative support to the leadership team.
Acting as the organisation's key communicator - handling calls and emails from stakeholders, partner agencies, regulatory bodies and members of the public, referring them to members of the leadership team as appropriate.
Providing document support to the organisation; drafting, preparing and printing documents for services, meetings and sending correspondence.
Sourcing and ordering goods and services on behalf of the organisation, liaising with suppliers and where appropriate, assisting with tendering.
Assisting with meetings and events, including scheduling, arranging rooms and refreshments, dealing with invitations and taking minutes.
HR & Recruitment
Responsibility for day-to-day recruitment tasks, including placing and monitoring recruitment adverts, dealing with enquiries from potential applicants and facilitating the shortlisting of completed applications.
Arranging and coordinating interviews, including scheduling, preparing documents and communicating interview results to applicants.
Assisting in the preparation of safe recruitment documentation for new members of staff.
Supporting management and staff with appropriate administration of PVG applications and documentation.
Maintaining accurate, up-to-date HR records which remain compliant with Data Protection legislation and our regulatory obligations.
Assisting with information collation for payroll purposes.
Assisting with arranging staff training events.
Distributing bi-annual staff surveys and collating results for feedback to the Head Office team.
Communications
Work on enhancing Visualise's social media offering, including the development of content, whilst following Visualise's social media guidelines
Updating and amending the Visualise website as required
Essential
Strong administrative skills
Good IT skills, including Microsoft Office and Microsoft Word
Organised and self-motivated
Able to prioritise work and manage competing tasks
Excellent communication and interpersonal skills
Desirable
Experience of working in an office environment
Experience of working in the third sector
Experience of using social media in a work or professional setting
