Job Purpose
The post holder will provide administration support within the multi-functional finance and administration team at HMP Inverness.
This is a varied role within an often busy office. The post holder will be responsible for answering phone and email enquiries, booking prisoners visits, general data input into the prisoners records system (PR2) & phone system, ordering and distributing prisoner sundry purchases and ensuring secure storage and maintenance of both financial and prisoner records.
The post holder will provide relief cover within the prisoners canteen (where manual handling may be required) and for the mail administrator - processing royal mail deliveries into the Establishment, following SPS policies and procedures.
Responsibilities
Providing administration assistance within the general office - including, answering internal and external phone/email enquiries, filing, data input and ensuring secure storage and maintenance of data.
Managing the prisoners visit booking phoneline.
Updating and maintaining prisoner records on internal computer systems.
Provide relief cover for the canteenassistant and mail administrator when required.
Canteen - is where prisoners place an order, we bag the items and deliver it.
Handling confidential information and ensuring SPS policies and procedures are followed.
As part of a multi-functional team, the post holder will be required to carry out other tasks or cover as specified by the Office Manager, commensurate to their grade.

Qualification Requirements
A minimum of 2 National 5 qualifications, including English and Maths or equivalent qualifications, or relevant previous job experience within an admin role.
