Summary
We are seeking a highly organised Administration Assistant to provide essential day-to-day support across all areas of the business. Working closely with the Managing Directors and other senior team members, you will play a key role in keeping the business running efficiently, supporting both internal teams and external communications. This is a varied role, ideal for someone who thrives in a fast-paced, structured environment and enjoys being at the centre of operations. The ideal candidate will be confident using Microsoft 365, have experience managing spreadsheets, be familiar with basic finance processes, and be comfortable handling diary management and logistics such as booking accommodation and coordinating meetings.
Key Responsibilities
Office Administration & Organisation
Provide general administrative support across departments, ensuring the smooth running of day-to-day office functions.
Manage emails, telephone communications, and handle enquiries in a professional and timely manner.
Maintain and update shared calendars, assist with diary management for the Managing Directors, and ensure meetings and appointments are scheduled efficiently.
Oversee office supplies and equipment, placing orders and liaising with suppliers as needed.
Book travel, accommodation, and meeting spaces for staff and clients.
Organise and maintain digital and paper filing systems to ensure key information is readily accessible.
Microsoft 365 & Data Handling
Use Microsoft 365 tools (Outlook, Excel, Word, Teams, SharePoint) daily to manage documentation, communication, and scheduling.
Create, maintain, and organise shared Excel spreadsheets used by multiple departments.
Set up and manage folders and permissions in SharePoint and Teams for document storage and collaboration.
Finance & Accounting Support
Support the finance function by raising purchase orders, processing invoices, and tracking expenses.
Work with basic finance tools such as Xero (training can be provided if needed).
Liaise with suppliers regarding billing queries and ensure prompt submission of payment information.
General Office Management
Assist with health and safety processes, risk assessments, and maintaining a well-organised workspace.
Support with onboarding of new staff, issuing welcome packs, and arranging IT/equipment.
Contribute to creating a positive office culture by supporting internal communications, staff events, and administrative logistics.
Essential Skills & Experience
Administrative Expertise:
Previous experience in an administration or office assistant role.
High level of organisation, accuracy, and time management.
Experience supporting senior leaders or business owners is desirable.
IT Proficiency:
Confident daily use of Microsoft Office 365 (especially Outlook, Excel, Teams, SharePoint).
Able to manage and maintain shared documents and collaborative platforms.
Communication & Interpersonal Skills:
Excellent written and verbal communication skills.
Comfortable liaising with suppliers, clients, and internal stakeholders.
Friendly, approachable, and adaptable team player with a can-do attitude.
Finance Support:
Familiarity with basic accounting or bookkeeping processes.
Experience with Xero or similar accounting software is advantageous.
Additional Desirable Qualities
Previous experience in a technology or telecoms business.
