Job Description

We are seeking a reliable and detail-oriented Administrative Assistant to support our Administrative Lead 16 hours a week (Friday, 9:00 a.m. to 5:00 p.m., Saturday, 9:00 a.m. to 1:00 p.m., and Sunday, 9:00 a.m. to 1:00 p.m.), as well as the opportunity to cover annual and sick leave, in managing the day-to-day operations of the practice. You will play a key role in ensuring the clinic runs smoothly and efficiently, with a strong emphasis on maintaining high standards of patient care. Key Responsibilities:



Confidential Data Entry

: Accurately input confidential patient information into the clinic's patient management system, ensuring data integrity and compliance with privacy regulations.

Inbox Management

: Monitor two key contact inboxes, responding to inquiries in a timely and professional manner, and escalating issues as necessary.

Report Preparation

: Type patient reports for clinicians, ensuring accuracy, clarity, and timely completion.

Minute Taking

: Attend internal meetings and take concise and clear minutes, distributing them to relevant stakeholders afterward.

Diary and Schedule Management

: Assist in the management of calendars for clinic staff, scheduling and organising patient appointments, staff meetings, and other events as required.

Telephone Support

: Answer incoming calls, provide information or assistance to patients and clients, and direct calls to appropriate team members.

Appointment Coordination

: Organise and confirm patient appointments, coordinating with medical professionals to ensure a seamless experience for patients.

Team Support

: Provide additional support to the Practice Manager and other clinic staff as required, including general administrative tasks, project assistance, and organisational duties.

Skills and Experience Required:



Education

: A good educational background is essential, with previous experience working in a mental health setting.

Communication

: Strong verbal and written communication skills are essential to interact effectively with patients, staff, and external stakeholders.

Initiative

: Ability to work independently, taking initiative to solve problems and manage tasks without constant supervision.

Technical Skills

: Proficiency with computers, including patient management systems, Microsoft Office Suite (Word, Excel, Outlook), and other software tools.

Teamwork

: Ability to work well within a team environment, contributing to a positive and collaborative workplace culture.

Multitasking & Organisation

: Strong organisational skills with the ability to prioritize tasks and manage multiple.
