We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong computer skills and have a background in office management, providing exceptional support to ensure smooth operations within the organization. This role requires proficiency in various administrative tasks, excellent customer service skills, and the ability to manage multiple priorities effectively.
Responsibilities
Manage front desk operations, including greeting visitors and handling inquiries with professionalism.
Operate multi-line phone systems, ensuring effective communication both internally and externally.
Maintain organized filing systems and perform data entry tasks accurately.
Assist with calendar management, scheduling appointments, and coordinating meetings.
Provide customer support through phone and email correspondence, addressing inquiries promptly.
Utilize Microsoft Office and Google Workspace for document creation, data management, and communication.
Conduct proofreading of documents to ensure accuracy and professionalism in all communications.
Support bookkeeping tasks using QuickBooks or similar software as needed.
Maintain confidentiality while handling sensitive information in accordance with company policies.
Collaborate with team members to improve office processes and enhance overall efficiency.
Experience
Proven experience in an administrative role or similar position is preferred.
Familiarity with front desk operations and customer service practices is essential.
Competent in a range of IT tools.
Good written and oral communication skills with the ability to build sound relationships with staff and customers.
Bilingual candidates are highly desirable to better serve our diverse clientele.
Strong organizational skills with the ability to manage time effectively and prioritize tasks.
Proficiency in computer literacy, including typing skills and familiarity with office software (Microsoft Office, Google Workspace).
Experience in clerical duties such as filing, data entry, and maintaining office supplies is beneficial.
