Job Title:

Administrative Assistant/Bookkeeper

Position Overview:



We are seeking a reliable and proactive

Administrative Assistant,

preferably with

some bookkeeping experience,

to join our team. This role supports both day-to-day office administration and finance-related tasks, including job tracking and debtor follow-ups. While prior experience with Xero is not required,

bookkeeping tasks will be performed using Xero accounting software

, and full training will be provided.

Key Responsibilities



Administrative Support:



Provide general administrative assistance to ensure smooth office operations. Chasing clients for information in a timely manner. Chase debtors for overdue invoices via phone and email to ensure timely payments. Answer incoming calls and respond to emails and other correspondence professionally. Dealing with incoming post, and distributing to clients and members of staff. Manage calendars, coordinate appointments, and schedule meetings. Order and maintain office supplies; liaise with vendors and service providers. Maintain organised digital and physical filing systems. Assist in preparing reports, documents, and internal communications when needed. Adhoc tasks and projects as and when required.

Bookkeeping Support (Xero-Based):



Support the entry of financial transactions and invoices into

Xero

(training provided). Assist with reconciliations, expense tracking, and invoice generation. Monitor outstanding payments and help follow up with clients on overdue accounts. Help process accounts payable and receivable. Maintain accurate financial records and support monthly reporting tasks.

Skills & Qualifications:



Previous experience in an administrative role Some bookkeeping experience desirable No prior experience with Xero required -

training will be provided

. Proficient in Microsoft Office applications, particularly Excel and Outlook Strong communication and interpersonal skills Excellent attention to detail and strong organisational skills Ability to manage multiple priorities and meet deadlines Trustworthy, discreet, and professional in handling sensitive information

Work Environment:



Office-based role with a small team, with the possibility of flexible or hybrid working arrangements once passed probation period.

Pay: 14.00-16.00 per hour

Expected hours: 22.5 per week
