Administration Assistant to Management Team/Receptionist

Purpose:

Responsible to: Management Team

Tasks:

Assist to maintain high standards of service at all times; Administration functions in connection with the position; Research and locate historical documents as and when required; Retrieval of original documents, and files from storage; Assisting with maintaining procedures/administrative systems for document safekeeping, records & storage; Scanning post Photocopying Printing File opening Create and organize information, and generate reference tools for easy use by the office. Organize and support the Management Team's daily administrative activities. Organize and keep up with the records, files, and filing system. Providing any support required by the firm's Compliance Officer for Legal Practice (COLP) and Compliance Officer for Finance & Administration (COFA); Miscellaneous tasks to support their management team;

RECEPTION



Dealing with clients and visitors to the Reception and attending to care and comforts of those waiting to include offering and making drinks for visitors; Ensure reception area and meeting rooms are clear and tidy; Answer all incoming telephone calls and assist callers, taking messages where appropriate and delivering messages to fee earners; Making appointments to see Fee Earners as necessary; Establish and maintain rapport with all clients to ensure that they will continue to use and recommend the services of Swayne Johnson Solicitors.

OTHER WORK:



Be a witness to signature on documents when required.

Be fully conversant with all policies in place and issued from time to time by or on behalf of the Directors.

Ensure compliance with all Health & Safety requirements as detailed in the Health & Safety Policy.

Be fully aware and comply with all instructions and procedures in the Practice Manual and the Staff Handbook.

Fully comply with any additional instructions issued from time to time by or on behalf of any or all of the Directors.

To positively respond to any training/development requirements.

Attend to other requirements by or on behalf of any of the Directors in connection with duties even if this may result in changing aspects of the .
