This role is central to the smooth running of our homes and to ensuring we remain compliant with Ofsted, safeguarding standards, and internal company processes.

Role Overview
The Admin & Compliance Officer will provide high-quality administrative, compliance and organisational support to the Responsible Individual (RI) and Registered Managers. The post-holder will ensure that key documents, systems and records are accurate, up-to-date, and audit-ready at all times.
This is a fast-paced role requiring excellent attention to detail, strong communication skills, and the ability to manage multiple priorities while maintaining a high standard of work.

Key ResponsibilitiesAdministrative Support
Maintain and organise all digital and physical documentation for the homes and head office.
Manage incoming correspondence, enquiries, and documentation.
Prepare reports, letters, meeting packs, and professional documents.
Arrange meetings, take accurate minutes, and track action points.
Compliance Oversight
Daily monitoring of key compliance systems including:
Home documentation
Medication records
Incident logs
Training compliance
Vehicle documentation
Risk assessments
Action plans
Ensure all documentation is version-controlled, filed correctly, and audit-ready.
Regulatory Support
Assist with preparation for Ofsted inspections, Regulation 44 visits, and internal audits.
Track and chase outstanding actions required by RI, Reg 44 and external professionals.
Support managers to meet compliance deadlines and regulatory expectations.
Communication & Coordination
Act as a central point of contact for managers and head office.
Escalate compliance risks to the RI promptly and accurately.
Provide clear communication and follow-up on outstanding tasks and actions.
Liaise with external agencies, professionals, and contractors as required.
HR & Recruitment Administration
Support safer recruitment processes including ID checks, reference requests, DBS checks and training onboarding.
Maintain employment files to regulatory standards.
Track training renewals and escalate lapses promptly.
General Office Management
Maintain a well-organised, professional office environment.
Monitor stock, supplies and systems to ensure smooth daily operations.
Support with general administrative duties as required.

Confident using digital systems and able to learn new software quickly.
Strong written and verbal communication skills.

Reliability, professionalism, and a strong sense of responsibility.
Desirable
Experience in children's residential care, education, health, or regulated services.
Knowledge of Ofsted, safeguarding or compliance frameworks.
Experience supporting senior leaders or managing documentation for audits.
Experience using digital recording systems (e.g, Clearcare, etc.).
