The Post

This is a pivotal role at the heart of Brent Council Direct Services. As our Administrative Officer, you will provide efficient, professional day?to?day support that keeps our service areas operating at pace and to a high standard. You will be the first point of contact within the administration team, welcoming colleagues, service users and external partners, handling post and telephone queries, and setting the tone for a helpful, responsive and solutions?focused service.


You will take ownership of core administrative activities that ensure departments run smoothly. This includes preparing minutes and action logs, raising invoices and following financial procedures, compiling scheduled and ad?hoc reports, and maintaining accurate electronic and paper records. You will champion a self?serve ethos, share good practice with peers, and manage your tasks proactively through to completion.


Financial accuracy and compliance are integral to the post. Each month, you will carry out audits and reconciliations within the regulated service and report any concerns to the relevant Team Manager. Throughout your work, you will handle sensitive information discreetly and in line with data protection, information governance and council policies. Safeguarding is everyone's responsibility, and you will act at all times to protect the health and wellbeing of children and vulnerable adults.

The Person



We are looking for someone who is professional, personable and calm under pressure. You communicate clearly in writing and in conversation, adapt your style to different audiences, and build rapport quickly. You are highly organised with strong time?management, able to juggle a demanding workload, prioritise effectively and maintain meticulous attention to detail. You think logically, spot issues early and take a practical, rational approach to solving them. You naturally look for ways to improve how things are done, and you enjoy working with others, contributing positively to the team and sharing what works well.


You bring experience of providing business support in a busy environment and of following and adapting administrative processes to meet changing service needs. You have a track record of accurate, confidential data input and data management, and you are comfortable working in information?sensitive settings. You understand defined business processes and can explain them clearly to colleagues, helping others to navigate systems and do their work effectively.


You are confident with standard Office packages, particularly Word, PowerPoint and Excel, and you can use information systems and databases to record service information and produce the reports the service requires. You have a good working knowledge of the processes, legislation, policies and standards that shape local government services, and you are committed to developing your skills through ongoing learning.
