Job Title: Administration Officer



Location: Chester le Street

(occasional travel throughout the UK required)

Hours -

Up to 20 hours per week (Monday to Friday, between 9am and 5pm) - may be combined with the Management Administrator role to create a full-time equivalent of 35 hours per week

Salary -

TBC

The role is offered on a fixed term contact until 31st March 2027 with a strong possibility of extension for the right candidate.

About If U Care Share Foundation



If U Care Share Foundation is a North East based charity dedicated to supporting individuals bereaved by suicide, promoting positive mental health, particularly among young people, and providing vital support to those struggling with their wellbeing.

Established in memory of Daniel O'Hare, who died by suicide, our mission is to prevent suicide through

education, intervention

and

postvention.

We are passionate about saving lives and supporting those impacted by suicide through our community-focused programmes and initiatives.

Role Overview



We are seeking a motivated and organised

Administration Officer

to play a key role within our Training and Development team. The postholder will act as the first point of contact for organisations and individuals seeking adult training or workshops for young people.

Reporting to the

Head of Training and Development

, you will oversee the full lifecycle of workshop bookings--from initial enquiry through to delivery--ensuring exceptional communication and coordination across all stakeholders.

This role supports the smooth operation of our training and development services, contributing directly to our mission of reducing suicide through education and awareness. Responsibilities include managing schedules, coordinating sessions, processing invoices, maintaining accurate records, and supporting presenters to ensure high-quality delivery aligned with project outcomes.

Key Responsibilities



Act as the first point of contact for all training and workshop enquiries.

Manage the end-to-end workshop booking process, including scheduling, communication, and logistical coordination.

Develop and maintain positive relationships with key stakeholders such as schools, community organisations, and mental health professionals.

Provide efficient administrative support to the Training and Development team.

Oversee delivery of core contracts, ensuring compliance with quality and reporting requirements.

Coordinate meetings, events, and training sessions, managing associated logistics.

Maintain accurate records, process invoices, and support project reporting through effective data management.

Support and oversee presenters to ensure workshops meet required project outcomes.

Monitor project progress to ensure delivery within agreed timescales and budgets.

Person Specification



Essential:



Strong organisational and administrative skills with a high level of attention to detail.

Excellent communication and interpersonal skills to build effective relationships.

Proficiency in Microsoft Office Suite and data management systems.

Ability to manage multiple tasks and priorities in a busy environment.

Desirable:



Experience coordinating events, training programmes, or workshops.

Knowledge of charity or community-based work environments.

Qualifications & Experience



Minimum 2 years' experience in a senior administrative role GCSEs (or equivalent) required; an associate or bachelor's degree preferred

Other Requirements



Car owner with a full clean driving licence and insurance for business use Willingness to undertake an Enhanced DBS Check (required for the successful candidate)
