We are seeking a motivated and detail-oriented Administration & Operations Assistant to join our team. The ideal candidate will possess strong organisational skills and have a background in administrative support. This role is essential for ensuring the smooth operation of our office, providing assistance to various departments, and maintaining an efficient workflow. This is 20-28 hours per week, 3.5 month Fixed Term Contract starting no later than 16/02/2026.
Responsibilities
Client On-boarding and Relations
Serve as the primary point of contact for all incoming client and prospective client communications (phone, email, messaging).
Manage the client onboarding process, ensuring every new client has a smooth, efficient start with us.
Coordinate meeting logistics, confirming attendance and making sure all parties have the information they need for successful engagements.
Office and Operations Management
Work closely with the Managing Director to manage professional calendars, coordinate meetings, and facilitate key operational projects.
Keep the office running smoothly by managing supply orders and maintaining essential administrative records.
Capture clear notes during team meetings and ensure that all resulting actions are logged and followed up on.
Assist in the ongoing coordination of team tasks and project workflows.
Marketing and Engagement
Manage and execute the firm's content schedule across all professional platforms (LinkedIn, Instagram, Facebook), including creating and publishing posts.
Monitor and respond to comments, messages, and inquiries across social media platforms, encouraging professional engagement.
Regularly update website content.
Support the Managing Director's professional outreach activities.
Key Skills and Experience
Previous office experience is preferred, demonstrating familiarity with administrative tasks.
Proficient computer skills, particularly in Microsoft office (Word, Excel, PowerPoint) and Google Workspace applications.
Experience with QuickBooks is a plus but not essential; training can be provided.
Strong typing skills with attention to detail for data entry tasks.
Excellent organisational skills to manage multiple tasks effectively.
The ability to communicate clearly, politely, and professionally as the firm's primary contact across all channels.
