The Opportunity: Administration and Sales Support
We are seeking a sharp, driven, and highly organised individual to join our dynamic team in an Administration and Sales Support role. This is an exciting opportunity to be a pivotal part of our sales process, ensuring our customers receive outstanding service and support from their initial enquiry through to successful product purchase and beyond.
The successful candidate will play a crucial role in maintaining our high standards of customer satisfaction and contributing directly to our continued growth.
Key Responsibilities
Customer Enquiry Management:
Serve as the primary point of contact for incoming customer enquiries via telephone and online channels (email, website chat, social media).
Sales Process Coordination:
Guide customers through the entire sales journey, from initial interest and product information provision to order processing and follow-up.
Customer Relationship Management:
Proactively follow up with customers to ensure satisfaction, address any concerns, and identify potential upsell or cross-sell opportunities.
Administrative Support:
Provide comprehensive administrative support to the sales team and wider office operations, including data entry, document preparation, and scheduling, purchasing
Support finance
department with invoicing and basic bookkeeping tasks.
Order Processing:
Accurately process sales orders, generate invoices, and coordinate with the production and dispatch teams to ensure timely delivery.
Database Management:
Maintain and update customer records and sales data within our CRM system, ensuring accuracy and confidentiality.
Problem Resolution:
Effectively resolve customer issues and complaints with a professional and solution-oriented approach.
Product Knowledge:
Develop a strong understanding of Quad-X.com's product range, features, and benefits to effectively assist customers.
Skills & Qualifications
A positive attitude
with a willingness to learn new skills.
Experience:
Proven experience in an administrative support role, with a strong emphasis on sales support or customer service.
Communication:
Excellent verbal and written communication skills, with the ability to articulate information clearly and professionally over the phone and in writing.
Organisation:
Exceptional organisational skills with the ability to multitask, prioritise workload, and manage time effectively in a fast-paced environment.
Proactiveness:
A proactive approach to problem-solving and a strong desire to take initiative.
Technical Proficiency:
Competent in using Microsoft Office Suite (Word, Excel, Outlook), experience with CRM (salesforce) software, WordPress, and Xero is desirable.
Customer Focus:
A genuine passion for delivering outstanding customer service and building strong customer relationships.
Team Player:
Ability to work collaboratively within a team environment, supporting colleagues as needed.
Attention to Detail:
Meticulous attention to detail for accurate data entry and document management.
