Administrative Assistant

The Role
We're looking for a proactive and highly organised Administrative Assistant to become a central part of our operational support team. In this role, you'll ensure the smooth running of our day-to-day activities by managing key administrative processes, maintaining accurate information systems and enabling clear communication across all departments. Key Responsibilities
Administrative Support
Provide general administrative support to the team whilst we continue to build our business together.
Create and implement systems and process maps to cover the operational functionality of the business.
Implement & maintain organised filing systems (digital and physical), ensuring documents are up to date and easily accessible.
Prepare, format and distribute reports, meeting minutes and presentations.
Operational Coordination
Support with finance administration invoicing, PO's and payroll.
Assist with onboarding processes, preparing documentation and coordinating access for new starters.
Monitor and order office supplies, equipment and resources as needed.
Help maintain compliance paperwork and ensure records meet regulatory and internal standards.
Data & Systems Management
Update and maintain internal databases, spreadsheets and tracking systems with accuracy and attention to detail.
Support the preparation of regular operational and performance reports.
Ensure all data is handled confidentially and in line with GDPR and safeguarding standards.
Support cross-departmental communication to ensure information flows effectively throughout the organisation.
Build strong working relationships across teams to understand their administrative needs.
Skills & Experience
Essential
Previous experience in an administrative or office support role.
Strong organisational and time-management skills, with the ability to prioritise tasks effectively.
Excellent written and verbal communication skills.
High level of accuracy and attention to detail.
Confident using Microsoft Office Suite.
Ability to handle sensitive information with confidentiality and professionalism.
A proactive, flexible approach and willingness to support a variety of tasks.
Desirable
Experience with finance and payroll software
Knowledge of CRM or information management systems.
Experience supporting compliance or regulatory documentation.
