The administration assistant will need to perform the following:
Manage workload on job management system, including but not limited to
Ensuring status updates and input of purchase order numbers from clients, updating daily with information from the managers and engineers, health & safety documents issued, liaising with the client to book in and completion communicated to Finance
Preparation of job performance reports for presentation to Director monthly
Preparation of job performance reports for presentation to our clients weekly which includes weekly teams calls with the contract manager.
Order ID passes, uniform & PPE for new starters or subcontractors
Assistance with new subcontractor process including but not limited to:
Pre-qualification questionnaire
Review of accreditations
Health & safety certification
DBS checks
Preparation of re-approval process for all subcontractors, maximum of every 3 years
Preparation of performance reports for subcontractors for presentation to Director monthly
Other administration duties as the business expands
