Purpose of the Role



The Administrative Assistant will play a key role in supporting the day-today running of our service. This position focuses on providing administrative and compliance support to the management team,mensuring the business runs efficiently and meets CQC and regulatory standards.



You'll be a trusted, proactive team member, helping coordinate staff files, compliance records, and documentation that underpin our "Outstanding" care provision.



Key Responsibilities



Administrative & Operational Support



Provide general administrative support including emails, calls, filing,

and correspondence.

Maintain accurate digital and paper records using CTCM's care and

compliance systems.

Support rota coordination, training logs, DBS checks, and staff

compliance files.

Assist with policy and procedure updates, audits, and internal quality

checks.

Prepare letters, reports, and meeting minutes for the management

team.

Support recruitment administration and onboarding processes.

CQC & Governance Support

Assist with maintaining CQC evidence folders and Provider

Information Returns (PIRs).

Update and monitor compliance trackers, incident logs, and

competency assessments.

Help prepare documentation for inspections, audits, and service

reviews.

Liaise with care teams to ensure all compliance actions are

completed on time.



Team & Communication



Support the Director and Deputy Manager with scheduling,

communication, and project organisation.

Liaise with staff, professionals, and families in a professional and

compassionate manner.

Promote CTCM's mission, values, and commitment to personcentred care.



Requirements



Essential



Full UK driving licence and own transport. Strong administrative and organisational skills. Excellent written and verbal communication. IT confident (Microsoft Office, Excel, email systems). Ability to maintain confidentiality and professionalism. Experience in the care, health, or social care sector.



Desirable



Experience supporting CQC-regulated services. Knowledge of HR, compliance, or audit processes. Ability to work flexibly and proactively within a small, growing

business.



What We Offer
