Overview of role
As an administrative assistant this role will cover a broad range of duties, primarily providing support to the Head of Marketing and Communications, and the wider Investors Relations team.
Within the role it is important you are able to work independently and prioritise your workload effectively, as well communicating clearly on project progress.
You will also need to provide secondary support to cover the other assistants as and when required.
Roles & Responsibilities
Diary management for a Head of Marketing & Communications for all internal and external meetings and arranging associated travel
Diary management for 3 Investor Relations Directors for all internal and external meetings and arranging associated travel
Expense management for Head of Marketing & Communications & 3 directors
Acting as a point of contact for internal teams and external clients
Supporting the wider EMEA IR team with administrative tasks (booking meetings, arranging travel)
Supporting the EA to MDs on overflow tasks, team events and global scheduling
Assisting in organizing team lunches, dinners and socials
Supporting the Executive assistant team with scheduling, travel and expense management as required
FOH assistance for on-site support for company events, large meetings and socials
Ad hoc administrative support to teams across the business as required
Skills required
Excellent organizational skills with the ability to plan and organize work and juggle priorities
A flexible, can-do attitude and a team-focused mindset
Keen interest to learn from those around you
Attention to detail in every aspect of work
Ability to cope under pressure and manage conflicting deadlines when required
A strong communicator, both written and spoken
Ability to build and maintain successful relationships at all levels both internal and external
Integrity, trust and discretion and the handling of highly confidential and sensitive information
Experience in working across different time zones would be beneficial
Knowledge/Experience
2-4 years' experience as a team or administrative assistant
Finance, Legal or other Professional Services background preferred
Enhanced level of Microsoft Outlook, Word & Powerpoint
