We are looking for a confident, capable Administrative Assistant to join our Newhaven office in this newly designed role.
You will be working closely with both our staff and clients, either face to face or on the telephone, so you must be able to communicate effectively. Strong IT skills and a proficiency in working with a variety of IT systems is preferred.
What you will be doing:
Opening and closing client files, organising hard copy and electronic documents, and maintaining well organised filing systems.
Accurately entering and updating client and case information in the firm's case management system.
Responding to client inquiries via phone and email, while maintaining professionalism and confidentiality.
Assisting with the provision of ID documentation from the prospective client, uploading ID on to the case management system and carrying out electronic ID checks according to the Firms policy and procedures
Carrying out the appropriate compliance and due diligence checks for the legal service being instructed according to the Firms compliance policies
Ensuring that all information required for the case management system is fully and correctly entered
Updating the case management system when new information is received after the initial matter opening has been completed
Closing files and dealing with all the relevant administration tasks
Liaising with department staff where necessary
Liaising with other third parties with regards to the details of transactions or matters as appropriate

A strong ability to organise and prioritise tasks, manage multiple files simultaneously, and maintain meticulous records.
Great attention to detail
Able to demonstrate proficiency in IT and case management systems and standard office software.
Excellent written and verbal communication skills for interacting with clients, lawyers, and other professionals.
Able to handle confidential and sensitive information with discretion.
