THE ROLE
As an
Administrative Assistant
you will provide comprehensive administrative support to the team and office operations. We're a small and agile team that values collaboration and getting things done efficiently. This is an excellent opportunity for someone who thrives in a fast-paced environment and is eager to contribute to a growing team becoming a leader in the field.
You would join our administrative team (Head of Finance & Administration, and Office & HR Manager) to keep our office operations organised and help to build internal systems that will help us to grow sustainably. You will primarily support day-to day office administration, HR, travel planning and finance. You will report to the Head of Finance & Administration.
You will assist with:-
Employee lifecycle and HR support
Supporting Health and Safety management
Organising, co-ordinating and scheduling internal and external meetings, events, workshops and team activities
Streamlining and maintaining travel coordination, including arrangements for international travel. This will include seeking cost effective solutions and providing thorough travel plans to staff
Supporting financial operations by assisting with bookkeeping tasks and report preparation which will include raising purchase orders, managing credit card transactions and making payments working within the Xero Accounting Software
Maintaining organised filing systems
Management of the general office and supplies
Managing incoming deliveries and assist with inventory tracking across Production and Research
The above is not an exhaustive list but provides an overview of the tasks and responsibilities that you are likely to undertake as an Administrative Assistant.
ABOUT YOU
You will be able to demonstrate that you have the following:-
Demonstrable administrative experience including supporting HR and Finance functions
Personable and collaborative team player
Great attention to detail
Efficient IT skills with experience working with Excel
Experience working with an accounting software package - Xero ideal but not essential
An awareness of the need for confidentiality and data protection requirements
Experience of general facilities management and ability to co-ordinate with various service suppliers as necessary
Good verbal and written communication skills with an ability to tailor this to suit the audience
Be comfortable at juggling tasks and shifting priorities between long term projects and the urgency of immediate demands
You may also have:-
Experience with end of month accounting
Notetaking
Import-Export experience
Opportunities exist to develop in relevant related departments, such as HR, finance or office management.

This is a full-time role, though part-time (0.8FTE) or flexible working options will be considered for the right candidate. Due to the nature of the role please note that mostly in-office presence is required.
